01What it is, and what it works with

Capture moves clinical photos from any phone into the patient’s Medtech Evolution record. A staff member looks the patient up by NHI, takes the photo in the phone’s browser, and taps upload; the image arrives in the patient’s Inbox Scan at the right size and in the right format, and no copy ever exists on the phone.

02What it costs

One subscription covers the whole practice. For a GP practice the tier is set by your PHO enrolled patient count, not by headcount. Clinics without an enrolled population are quoted directly, see below.

  • Prices exclude GST and are billed monthly. Cancel anytime.
  • Every plan includes guided onboarding and the Medtech ALEX connection. No setup fee, no per-image charges, no hidden costs.
  • Your price is set from the enrolled patient count you give us when you subscribe, and that count is shown on your invoice. It does not re-rate itself, so tell us if your enrolment changes materially.
  • Above 7,000 there is no flat jump to a new tier. NZ$125 covers the first 7,000, and each block above that is charged at a lower rate than the block below it. Enter your patient count when you sign up and the exact figure is calculated and shown to you before you pay. Past 50,000 we quote individually.

Not a GP practice?

If your clinic doesn’t have enrolled patients the way a GP practice does, these prices won’t fit. That includes skin and lesion clinics, urgent care, specialist rooms, podiatry and wound care. Email me and we’ll work out the right price for you.

More than one site

Multi-site groups can subscribe in one go: add each site, and the enrolled counts are pooled so the group reaches the cheaper rates sooner. If separate subscriptions would work out cheaper, you pay that instead, whichever is lower. Setup still runs once per facility ID, so one site can trial it before the others follow, and staff join each site separately, which keeps every site’s audit trail clean. Email ryo@clinicpro.co.nz.

3b. Manual login (optional), only for staff working away from the practice computer

Skip this for staff who only ever use Capture inside the clinic, they need nothing beyond 3a. It’s for the rest-home-visit case, or anywhere without the practice computer open, once per staff member who needs it.

Staff onboarding steps and what each asks of you

1. Open ClinicPro from EvolutionAt a practice computer, click the ClinicPro Launcher icon. Evolution tells us which staff member you are, so there is nothing to pick from a list.
2. Choose "Using ClinicPro off site?"On the screen that appears, enter your work email.
3. Confirm by email codeA code is emailed to you, entered once.
4. Sign in when you use itSetting the account up is the one-time part. Signing in is not: NHI search asks you to sign in, deliberately, because it reaches patient data away from the practice.

The only wait is admin step 2, Medtech linking your facility. This step is optional and per person, staff who never work away from the practice computer can ignore it entirely, at no extra cost either way.

04What your staff actually do, day to day

Two ways to start, both land on the same confirm screen from there.

In Medtech Evolution

Scan the QR code

Click the ClinicPro Launcher icon with the patient’s chart open. The QR code that appears already has that patient loaded and confirmed, scan it and you’re straight into capturing, nothing to search for.

Anywhere

Search by NHI

Open Capture on your phone’s browser, sign in, and look the patient up by NHI.

The Launcher icon is a one-off setup, about 10 minutes. Work through the illustrated setup guide yourself, see §03 onboarding. If you get stuck, book a setup session.

No shared logins and no per-device configuration either way. Scanning from Evolution records who clicked the icon there; manual login records who signed in. Either way, the audit trail is per-person.

05Privacy and compliance

This section is written to be handed to your privacy officer as-is. The principle: one copy, in Medtech, nowhere else. Capture is built to meet the rules that govern clinical software in New Zealand: the Health Information Privacy Code 2020, the Privacy Act 2020 (Capture acts as an agent of the practice under section 11), and HISO 10029.

  • Every hop stays in Australia and New Zealand. Images pass through; they are not retained. ClinicPro keeps no server-side copy of any clinical image, and nothing is ever written to the phone, its camera roll, or cloud.
  • If a phone is lost or stolen, there is nothing on the device to lose: no stored photos, no cached patient data.
  • Every commit is audited. Practitioner ID, facility ID, and timestamp are recorded per upload, and location metadata (EXIF and GPS) is stripped from every photo automatically.
  • The practice remains the agency holding the health information under the HIPC, not a third party.

Documents: the full privacy policy is public, and a Data Processing Agreement is available on request.

06If it does not work out

  • Cancel anytime. Billing is monthly with no lock-in and no exit fee.
  • No vendor trap. If ClinicPro ever stopped operating, the photos already in your patient records are not going anywhere, because they were never held anywhere else.
